I had a small time business and used stock photos for a manufacturers product I carried and they found out. Crazy thing is I didn't have any hotwords listed for search engines, my site wasn't optimized either. I still dont know how they found me.

Have you seen the front portion of our web site that has been sitting there for nearly two years now?
This shard has the second highest average population of all the player run shards out there. We are listed #1 on google when typing "UO Second Age" in the search criteria. Electronic Arts would nail that long before anything related to something at a festival. I honestly don't think EA gives a crap about this game unless you're making money off it. Sure, it's probably best bet to avoid using copyright material since it's always the safer route to take. I just don't think anything would happen to someone if they did use it at this festival is all I am saying.

I understand that and maybe because its not for profit they wouldn't do anything but if they did its a hassle. Honestly there would be no issue with using the official graphics to promote a non-profit community project. If anything free shards keep the game alive and likely attract players to the official servers. It is after all free advertising.
Using images on a commercial website, no matter how small-time, without paying royalties will land you in hot water sure. But in this case as long as you aren't either making money from the use of the images or passing yourself off as Mythic/EA then there won't be any problem.

You better do some homework. Generally you can't use copyrighted materials for ANYTHING (exception being ('fair use')without the permission of the copyright holder. It is illegal. Fair use allows for it providing you aren't impacting on the economic interests of the copyright holder. If it was ever going to be an issue all of the free shards that are running and distributing the entire game would have been taken down long ago. A couple pics on a flyer put out at a small event isn't even going to register. Just trying to put it into perspective for yah.

Yea I needed to do my homework, that was 6 years ago and I know better. I also know better than to make assumptions.

i like what orionsune found, especially the text part. need to have the words FREE SERVER on it somewhere. also add website address along with server info.
